Questions, answered.

How VenueScout works for organisers, venues and vendors, and how payments and Event Map fit in.

Organisers

What is VenueScout?

A marketplace that helps organisers discover, design and deliver events, live in Nairobi with Kampala, Kigali and Dar es Salaam coming. It connects organisers, venues and event vendors in one place. It is run by Crowlective Studio (Event Map) and Conferencing In A Box.

How do I find a venue?

Search by city, venue type, number of guests for a layout, price and event type, or filter to venues modelled in 3D. Results show as a grid or on a map, and you can compare venues side by side.

Can I send one brief to several venues?

Yes. One brief goes to up to 8 venues. Each venue replies with a proposal and you compare the proposals side by side. Accepting one creates the booking.

What does it cost?

Fees apply when a booking is confirmed through VenueScout, a tender is awarded, or a ticket is sold (a booking fee added at checkout). The Pricing page shows the rates. Illustrative rates, confirmed before launch. Premium listing (KES 7,500 a month) and vendor membership (KES 2,500 a month) are paid plans, at illustrative prices.

Which cities are covered?

Phase 1 is Nairobi. Kampala, Kigali and Dar es Salaam come later.

How does my venue get a 3D model?

Venues appear in 3D when Event Map by VenueScout has a model of them, with a layout for each event type and the capacity that goes with it. Venue pages show which layouts are available.

Vendors

How do I become a vendor on VenueScout?

Sign up as a vendor and complete your profile, including your KRA PIN. A VenueScout admin verifies vendors. Vendor membership (KES 2,500 a month) and verification (KES 5,000 once) are a paid plan at illustrative prices.

How do tenders reach me?

Organisers publish tenders by category, either written by hand or generated from an Event Map design's equipment list. You bid with an amount, a timeline and your proposal, and you can exchange messages with the organiser about your bid.

What happens when a tender is awarded?

The organiser shortlists bids and awards one. A 3% success fee applies to an awarded tender, paid by the winning vendor. Illustrative rates, confirmed before launch.

What is design-to-tender?

An organiser designs the event in Event Map by VenueScout and its equipment list becomes one tender per vendor category, ready for bids. Upload Event Map's equipment CSV to VenueScout Tenders today; a one-click hand-off is coming.
